Who we are
Haul is a software tool that helps youth organisations estimate and document grant budgets for European mobility programmes (Erasmus+ Youth Exchanges, Mobility of Youth Workers, and European Solidarity Corps volunteering). It is operated under the name Haul. For anything related to your data, write to contact@byhaul.com.
The organisation that coordinates your project (the one that invited you or entered your data) decides why and how participant data is used. In data-protection terms, that coordinating organisation is the data controller and Haul acts as its processor: we store and process the data only to provide the tool, on the coordinator's instructions.
What data is processed
For each participant in a project activity:
- full name, role in the activity (participant, group leader, facilitator, accompanying person)
- sending country and, optionally, origin city and travel distance
- green-travel choice and extra green travel days
- a “fewer opportunities” indicator (a yes/no flag used by the funding rules — no details about why it applies are collected)
- documents the coordinator chooses to upload (for example consent forms or ID copies)
For coordinator accounts: email address and organisation name. Haul collects no data for advertising, runs no trackers, and never sells or shares data with third parties for their own purposes.
Why (purpose)
One purpose only: calculating grant estimates under the official programme rules and producing budget documents (summaries, annexes, registers) for the coordinating organisation. Nothing else.
Participants under 18
Youth mobility projects often involve minors. Data about a person under 16 may only be submitted with the agreement of a parent or legal guardian. When a partner organisation submits participants through a collection link, it confirms that it has informed each person — or their parent/guardian — and holds the necessary consent. If you believe a minor's data was submitted without proper consent, contact us at contact@byhaul.com and it will be removed.
Who can access the data
- the coordinating organisation that manages the project (and only that organisation)
- Haul's hosting infrastructure (Supabase, hosted in the European Union), which stores the data with per-organisation access isolation
Partner organisations that submit participants do not see other organisations' data.
How long the data is kept
Data is kept for as long as the coordinating organisation keeps its project in Haul. Coordinators can delete individual participants at any time. You can also request deletion directly (see below).
Your rights
You can ask to access, correct, or delete your data (or your child's data) at any time. The fastest route is through the coordinating organisation of your project. You can also write directly to contact@byhaul.com — requests are handled within 30 days. You also have the right to lodge a complaint with your national data-protection authority.
